PCS orders to Fort Cavazos are typically published 120 days before your report date. Upon arrival, most Soldiers spend about four days at the Installation Reception Center for in-processing, with a finance brief on day two being the most important. Families should decide between on-post housing (2-week to 12-month waitlist) and off-post options in Killeen, Harker Heights, or Copperas Cove well before arrival.

If you just got orders to Fort Cavazos, here’s the truth: the move itself isn’t the hard part. The hard part is making a hundred small decisions with incomplete information while everyone around you is also stressed and also moving. I’ve helped hundreds of military families do this exact thing, and this guide is everything I tell my clients in our first conversation, written down so you can read it before we ever talk.

The timeline: when to do what

The Army tries to publish PCS orders 120 days out from your report date. That’s intentional — it’s meant to give you four months to get your affairs in order. Not everyone gets that much lead time, but if you do, here’s how I’d use it.

As soon as you have orders:

  • Log into the Defense Personal Property System and schedule your household goods pickup. Do this early. Summer is peak PCS season, and slots fill fast.
  • If you’re enrolled in EFMP, contact the gaining installation’s EFMP office now. Medical and school transitions take longer than people expect, and starting early is the difference between a smooth handoff and a gap in care.
  • Start a PCS binder: orders, birth certificates, Social Security cards, marriage license, medical/dental records, school records, insurance policies, and an inventory of anything high-value.

60–90 days out:

  • This is when I’d start talking to a realtor — not because you need to buy or sign anything yet, but because understanding the market, the neighborhoods, and your real BAH math takes time to absorb. I’d rather you make this decision in March than the week before you arrive.
  • If you have school-age kids, reach out to your target school district now. Course matching and mid-year transitions go smoother with more lead time.

30 days out:

  • Decide: are you trying for on-post housing, or going off-post? (More on this below — it’s not as simple as “which is cheaper.”)
  • If you’re going to rent or buy off-post, this is when house-hunting trips actually start paying off.

What arrival actually looks like

Here’s what nobody tells you ahead of time: when you arrive at Fort Cavazos, you’ll check in at the Installation Reception Center, and if you’re not a senior officer or senior NCO, you’ll spend about four days there before heading to your unit. Finance is the most important briefing in that window — there are finance clerks on-site who can catch entitlement mistakes on the spot, so don’t rush through that one.

If you don’t have off-post housing lined up and you’re not immediately moving into on-post housing, you can stay in on-post lodging. After 14 days without housing, you’re eligible for a memo that adjusts your hotel rate to match your BAH, so you’re not paying out of pocket while you sort things out. That’s a real safety net — use it if you need it, and don’t panic if house-hunting takes a little longer than you hoped.


On-post vs. off-post: how I actually walk people through this

This is the first big decision, and there’s no universally right answer — it depends on your family.

On-post (Cavalry Family Housing): Fort Cavazos has about 6,000 homes across 13 housing areas, ranging from two-bedroom units to five-bedroom homes. It’s managed by a private partner, and the appeal is real: included utilities, proximity to work and youth programs, and a built-in sense of community, especially helpful if you’re down to one vehicle or this is your first PCS.

The tradeoff is the waitlist. Depending on your rank and bedroom requirement, wait times run anywhere from two weeks to twelve months. If you’re EFMP-enrolled, there’s a process to request housing that fits your family’s specific needs, but it still takes coordination and time.

Off-post (Killeen, Harker Heights, Copperas Cove, and beyond): This is where most of my clients land, and where I spend most of my time. My honest advice: if you’re not in a rush and you’re not on the on-post waitlist already, don’t force the on-post-vs-off-post decision before you’ve actually seen the off-post options. A lot of families assume on-post is the default and end up happier in a Harker Heights neighborhood they never would have looked at otherwise.


Budgeting with your BAH

But the short version of what I tell every client: know your number before you start looking at houses, not after. It changes what neighborhoods make sense, and it keeps you from falling for a house that’s $200/month outside your comfort zone before you’ve even thought about utilities, which run noticeably higher here for about seven months of the year because of the AC load.

Schools, if you have kids

Killeen ISD, Harker Heights’ feeder schools, Copperas Cove ISD, Belton ISD, and Temple ISD all serve this area, and they’re not interchangeable. If school quality is a top priority, that alone can be the deciding factor in where you live — I’ve seen families choose a longer commute specifically for a school district, and for them, it was the right call.

Whatever district you’re considering, reach out to the School Liaison Office and the district directly before you commit to a house. If your child has an IEP or 504 plan, start that conversation as early as possible — these things move slower than the PCS clock, and you don’t want housing decisions made before you know how the school side is going to work out.


A few things people don’t think to ask about

Pets and extra vehicles. Confirm vaccination requirements and any breed or quantity restrictions if you’re considering on-post housing, and check Texas vehicle registration timelines so this doesn’t become a last-week scramble.

Sponsors. If you haven’t been assigned a sponsor yet, ask your gaining unit. A sponsor — usually someone around your rank already at Fort Cavazos — can answer the hyper-local questions no website can, like which gate is actually fastest at 0600 versus 1600.

Get with your housing office early if you’re already living on-post elsewhere. They’re trying to coordinate maintenance turnover for the next family moving in behind you, and a heads-up helps everyone.


What I’d actually tell you to do first

If you take nothing else from this guide: get your household goods shipment scheduled the moment you have orders, and start the housing conversation — on-post waitlist or off-post research — well before you think you need to. Everything else can be figured out in pieces. Those two things compound if you wait.
